Refund Policy
1. When to contact us
Contact Circles Ontario Inc if you believe a payment has been applied incorrectly, a duplicate charge has occurred or there is a concern about services associated with an engagement.
A clear written description helps the team understand what happened and which part of the engagement or payment requires review. Please raise the concern promptly after you become aware of it.
2. Information to include
Email your name, the contact email associated with the engagement, the relevant service reference and the dates involved. Explain the concern and the outcome you are requesting.
An invoice reference or a limited transaction reference can help identify a payment. Do not send full payment card details, account passwords or unrelated personal records.
3. How a request is considered
A review should consider the agreed scope, the work completed, any services delivered, relevant communications and the specific circumstances of the request. Engagement-specific refund terms should be clarified before work begins.
Sending a request does not mean it has been accepted. The team may ask for further information where it is needed to identify the issue or understand the sequence of events.
4. Work already delivered
Cancellation does not automatically reverse a payment for consultation time already provided or work already completed. Any adjustment needs to be considered against the agreement and the circumstances.
This does not prevent you from raising a concern about the work or a payment. Explain the issue directly so that the relevant information can be reviewed rather than assuming that every request has the same outcome.
5. Cancellation is a separate request
A cancellation request asks to stop or change future work. A refund request asks for a review of a payment. If you want both, make that clear in your email so the two matters can be considered together.
See the Cancellation Policy for how to identify the work you want to stop. Confirmation of cancellation and the outcome of a payment review should each be communicated directly.
6. Decision and communication
The outcome of a review should be explained directly using the contact information associated with the request. If an adjustment is agreed, the practical next steps should be confirmed at that time.
Email our team to request a payment review. A review outcome is communicated directly; opening an email link or visiting this page does not submit or approve a request.
7. Questions and applicable rights
If you need clarification, reply with the relevant engagement context and explain which aspect of the response is unclear. Keep relevant communications so that the matter can be reviewed consistently.
Nothing in this policy limits applicable statutory rights. Contact our team if you need clarification about the terms associated with your engagement.
